Moving to SubCARE

The SubCARE team have developed a handover program that makes moving your subscription function simple and quick, as the schedule below shows.

Test Transfer - to make sure that the conversion of the data runs as smoothly as possible, we will request a test file prior to the live transfer. This will allow us to validate the data within our software's record and field names.

Verification - on the agreed date of conversion, we will request a total liability figure and the number of live/lapsed and UK/Overseas subscriptions. With this information we can verify that the data has been converted correctly once the live transfer is complete.

Live Data Transfer - ideally the live data should be converted either at a month end or immediately after an issue run. Once the outgoing fulfilment operation has downloaded the data to us, we ask that they cease any processing through their database and, from then on, pass any instructions to our subscriptions department. We will give a copy of the outgoing data and the converted data to the publisher for safekeeping. Conversion usually takes 24hr to complete and verify.

Notification to Subscribers - once the transfer has taken place, any renewals will be sent out straight away stating all the new contact information. To notify all other subscribers, an insert will be placed in the next issue run.

It is important that a liaison is established between the outgoing fulfilment operation and our subscriptions department. Both during and after the transfer of data, we may need to contact them to verify any queries and also make sure that any instructions they receive from subscribers are passed on to us within a reasonable time frame.
